How to open a new file in Law App — video guide

Contents

A file (matter) is the record for a client engagement, and opening one sets up where the time, costs, documents and invoices for that matter are recorded. The video below shows how; the summary underneath lists the same steps.

What is a file in Law App?

A file, or matter, is the central record for a piece of work you are doing for a client. Everything for that engagement — time entries, costs, documents, trust money and invoices — is recorded against the file, so opening one is the first step before you start work.

How to open a new file

Opening a new file follows these stages. Watch the video above for the exact screens; the steps below are the summary.

    1. Choose to open a new file in Law App.
    2. Select the client the matter is for, linking an existing contact or adding a new one.
    3. Enter the matter details, such as the matter type and the responsible fee earner.
    4. Save to create the file, ready for time, costs and documents.
Tip. If the client does not exist yet as a contact, you can add them while opening the file, so you do not have to set the contact up separately first.

    Common questions

What is the difference between a contact and a file?

A contact is a person or organisation. A file (matter) is a piece of work you are doing, which is linked to a client contact. One contact can have several files.

Can I change the fee earner on a file later?

Yes. The responsible fee earner on a file can be assigned or changed after the file is opened, so an early choice is not permanent.

What can I record against a file?

A file holds the time entries, office costs and disbursements, documents, trust transactions and invoices for that matter, all in one place.
