๐ Global Search New
There’s a new Global Search page under Home. One search box now covers files, contacts, documents, time entries, invoices, receipts, trust, safe custody and VOI, so you can find what you need without knowing where it lives. Each person only sees the sections their permission set allows, and confidential files stay hidden.
- Quick Find finds more. Quick Find (the Quick Find icon in the header bar, or Ctrl+K) can now find invoices, receipts and trust entries by number or amount, and shows safe custody results. Its Search everything option opens the full Global Search page.
- Straight to the entry. Opening a time entry from search takes you directly to it.
- One place for safe custody and VOI. The old separate Safe Custody & VOI search window has been retired, because Global Search now does that job.
- Faster number searches. Searching document contents for numbers, such as “250”, is now much quicker.
๐ Outlook appointments New
Appointments on a file now sync both ways with your Outlook calendar.
- Book from the file. Add an appointment on a file’s Appointments tab and it appears in Outlook, with the file code in the subject.
- Changes flow both ways. Move, rename or cancel an appointment in Law App or in Outlook and the other follows. If a meeting is cancelled in Outlook, you can re-send it or remove it from Law App.
- See who’s coming. Attendee replies show on each appointment, so you can see at a glance who has accepted.
- A simple form. Location suggestions, an attendee picker with the people on the file listed first, a message that goes into the Outlook invite, and internal notes that never leave Law App.
- Book for others. Staff with the Book appointments for others permission can book into a colleague’s calendar, and a Key Date can create an appointment that is already filled in.
Outlook appointments need your firm’s Microsoft 365 connection set up first. If you’re interested, let us know at support@lawsupport.com.au and we’ll send you the guide for your administrator to get started.
๐ฌ Overdue Reminder Notices New
Law App can now chase unpaid invoices for you. It finds overdue invoices, drafts a reminder email in your firm’s name with a statement of account attached, and keeps a record of exactly what was sent.
- Reminder tiers. A Friendly reminder at 30 days, an Overdue notice at 60 and a Final notice at 90. Rename them, change the timing, or add up to six tiers.
- Editable email templates, with a preview, your signature and your firm logo.
- Billing email on each file, so reminders reach the right person. Several addresses can be entered.
- One email per matter, or one per client listing every overdue matter and invoice.
- Attachments. Send a statement of account, the original tax invoice, both, or nothing.
- Review queue. Each business morning Law App prepares new reminders for someone to check and send.
- Automatic sending (optional). Law App can send reminders without anyone touching them, from your own mailbox, with the emails appearing in Sent Items.
- Built-in safeguards. One reminder per tier, the balance is re-checked at the moment of sending, individual files can be excluded, a daily sending limit applies, and no interest, fees or write-offs are ever applied.
If you’d like to start using Overdue Reminder Notices, let us know at support@lawsupport.com.au. Automatic sending also needs your firm’s Microsoft 365 connection set up first, and we’ll send you the guide for your administrator.
๐ง Outlook add-in Improved
Attachments and file matching
- Attach Word documents in new Outlook. Attach Docs now works for Word documents in new Outlook and Outlook on the web, not just PDFs. If an attachment can’t be added, the pane tells you which one and why.
- Smarter file matching. The add-in finds the matter from the email subject more reliably. Suggested files appear as chips under the File box on both the Email and Time tabs. Hover over a chip to see why it was suggested, and click one to use it.
- Replies follow the conversation. Replies in a conversation that has already been saved to a file suggest that file first.
- The file stays with the email. Switch between the Email and Time tabs and your file is still there. A file you chose yourself is never replaced.
- Attach Docs opens the right pane. Attach Docs no longer sometimes opens the Save Email form instead.
Time units filled in for you
The quantity on the Time tab now starts from your firm’s defaults: a set number of units per email, plus units per attachment if your firm turns that on. Only real attachments count, not signature logos or pictures in the email body. Administrators set the firm’s values in Settings > Firm-Wide under Timesheet, and anyone can set their own in My Preferences.
๐ชช KYC Assessment Record and VOI Improved
- The record keeps itself up to date. A new dated KYC Assessment Record is added whenever a representative or associated party changes, an identity document is added, edited or removed, or the VOI is accepted. You no longer need to redo the review to refresh it, and earlier records are kept in the Assessment dropdown.
- Who verified each document. The identity table now shows who verified each document and when. Records created before this update show “Not recorded” for the verifier until the next change on the contact.
- Accepted column. The VOI list now has an Accepted column, so you can see which documents the current acceptance covers.
- Accept again. If a new identity document arrives after the VOI has been accepted, a banner tells you how many aren’t covered, with an Accept again button that re-accepts the whole set in one click.
๐งพ Invoice styles Improved Beta
- Font options. Choose a font size (Small, Normal or Large) and a font family (Sans, Serif or Mono) for your invoices.
- Open bills on our own invoice layouts. A new setting under Settings > Accounts Setup > Billing settings lets you open bills in your firm’s own layout by default. You can still choose any other style on the print screen. This setting is only available to firms that previously had custom invoice templates.
๐ Marketing Source Report Improved
The Marketing Source Report now has an Enquiries view and an Include enquiries tick box. These show people with a marketing source who haven’t opened a file yet, along with their last contact, next action and the lost reason if there is one.
๐ฅ๏ธ Everyday usability
- My Preferences has a new look. My Preferences now matches the newer settings pages, with a search box, a list of sections down the left (Appearance, Timesheets, Outlook add-in and Documents), and a short description for each section. Save and Undo appear in the banner as soon as you change something. To open My Preferences, click your initial in the top right corner and go to Profile, or search for “preferences” in Quick Find, using the Quick Find icon in the header bar or Ctrl+K.
- “File Name” is now “Client/s name”. We noticed the File Name field was causing a lot of confusion, so it’s now labelled Client/s name on both the File Details and New File pages. It’s the same field holding the same information; the new name just makes it clearer that this is where the client’s name goes.
- Clearer message on the Allocate screen. When you allocate a debtor receipt and the file has no invoices with an outstanding balance, the screen now says so and suggests checking that you have the right file number, or whether the invoice is still in draft.
