How to Set Up Microsoft 365 Business Standard for Your Domain Email

Step 1: Buy Microsoft 365 Business Standard


Step 2: Create Your Microsoft Account

  • Set up your first user (e.g you@yourdomain.com.au)
  • Choose a password
  • You’ll now have a Microsoft 365 admin account

Step 3: Update Your Domain DNS Records

To point your email to Microsoft:

  1. Log in to your domain provider (e.g. GoDaddy, VentraIP, Crazy Domains)
  2. Add the DNS records Microsoft gives you:
    • MX record: directs email to Microsoft servers
    • TXT record: verifies you own the domain
    • CNAME/SRV records: support Outlook and other services

Microsoft will show you the exact records during setup.

Allow up to 24 hours for changes to fully take effect, but often it’s live in 1–2 hours.


Step 4: Use Outlook for Email

  • Sign in at https://outlook.office.com
  • Email is now live through Microsoft 365

Step 5: Migrate Old Gmail Emails (Optional)

If you want to bring your old Gmail inbox over:

Manual method (quickest for one person):

  • Open Outlook desktop app
  • Add both Gmail and Microsoft accounts
  • Drag folders/emails from Gmail to Microsoft
  • Remove Gmail when done

Or use Microsoft’s Gmail import tool inside the Exchange Admin Center.


Step 6: Set Up on Devices

  • Install Outlook on desktop and phone
  • Log in with your new Microsoft 365 account
  • Set up 2FA (two-factor authentication) for security

Summary

You now own a fully set-up Microsoft 365 email system:

  • You@yourdomain.com.au  runs through Outlook
  • You have access to Word, Excel, Outlook, Teams, OneDrive
  • No dependency on Google

DNS Setup for Microsoft 365 Email

For domains hosted with GoDaddy or Crazy Domains


Step 1: What You’re Doing

You’re switching your domain’s email to Microsoft 365.
To make that work, you need to update your domain’s DNS records.


Step 2: DNS Records to Add or Edit

 MX Record – Mail delivery to Microsoft

Replace yourdomain-com-au with the actual value Microsoft gives you during setup.
Delete any old Gmail/Google MX records if they exist.


TXT Record – Domain verification

Microsoft will give you the exact code during domain setup.


CNAME Records – Auto-discovery and Microsoft services

Step 3: Where to Enter These

GoDaddy

  1. Sign in at godaddy.com
  2. Go to My Products
  3. Click DNS next to your domain
  4. Add or edit the records in the DNS Management screen

Crazy Domains

  1. Sign in at crazydomains.com.au
  2. Go to Domains → Click Manage
  3. Open DNS Settings or Zone Management
  4. Add or update records as needed

Step 4: Wait for DNS to Update

  • Usually active within 1–4 hours
  • May take up to 24 hours to fully propagate

Final Tip

Don’t cancel Google Workspace (if you used it) until:

  • DNS changes are live
  • Emails are flowing into Microsoft
  • Any old mail is backed up or migrated
