Batch billing lets you raise invoices for several files at once instead of creating them one by one. The video below walks through the whole process — followed by a quick reference for the steps.
1. Check what’s ready to bill (optional)
Before you run a batch, it’s worth checking what unbilled work is sitting on your files. Go to Reports > Dashboard, then open Billing Preparation under the Billing group. This report groups outstanding fees and disbursements by responsible employee, and you can drill into any employee to see the detail per file.
2. Run a batch bill
- Go to Accounts > General, open the Debtor Invoices dropdown in the tab bar, and select Batch Billing.
- The Batch Bill screen lists every file with an outstanding billable balance.
- Tick the checkbox next to each file you want to include — you can select as many files as you like.
- Click Bill Selected once you’ve made your selections.
- A details window opens showing a draft invoice for each file you selected. Check the issue date, due date, tax category and payment terms for each one. You can remove items you don’t want included by hitting the delete button.
- Click Save all to generate the invoices.
- The new invoices appear on the Debtor Invoices list in Draft status. Open any of them to check the detail, then approve and finalise as you normally would.
Tip: Batch billing creates invoices in Draft status — nothing is sent to clients until you approve and issue each invoice, so it’s a safe way to review everything before it goes out.
