The Chart of Accounts in Law App is an inline editable table — when you click Add, a new blank row appears at the top of the list and you fill in each field directly. Because there is no separate form or pop-up, it pays to have your GL code structure worked out before you start.
Before You Start
Decide the following before pressing Add:
- GL Code — the number you want to assign (e.g. 4-1500). Law App uses a hierarchical numbering system, so make sure the code fits within your existing structure.
- Name — a short, clear label for the account.
- Account Type — which category the account belongs to (see the Account Types section below).
- Parent account — which existing header code this account sits under. This is always required — have it ready before you start.
You cannot re-number a GL code once transactions have been posted against it, so take a moment to confirm the code fits your numbering convention before saving.
Where to Find It
Go to Accounts → General → Chart of Accounts in the left sidebar, or use the Chart of Accounts tab along the top of the General accounting area.
Adding a New Account
- Click the Add button (top right of the GL Accounts screen). A new blank row appears at the top of the table.
- Enter the Code — type your GL code into the first cell.
- Enter the Name — a short descriptive label.
- Enter a Description (optional) — a longer explanation that appears in some reports.
- Select the Account Type from the dropdown (see below for your options).
- Select the Parent account — this is always required. Law App’s top-level header codes (Assets, Liabilities, Expenses, etc.) are pre-set; every new GL code must be assigned to one of them. A GL code without a parent will not sit correctly within the accounting hierarchy and may be missed or not properly accounted for in your financial reports.
- Select a Control account if applicable (e.g. Debtor, Creditor, Disbursement). Most accounts leave this blank.
- Leave Actived ticked so the account is available for use.
- Click Save all to commit the new row.
The new row will show validation errors (red indicators) if required fields are missing. The Code, Name, and Account Type fields are all required before you can save.
Account Types
When you click the Acc Type dropdown, Law App shows the following options:
| Account Type | Use for |
|---|---|
| Assets | Top-level asset grouping accounts. |
| Current Assets | Short-term assets such as bank accounts and receivables. |
| Non-Current Assets | Long-term assets such as equipment and leasehold improvements. |
| Liabilities | Top-level liability grouping accounts. |
| Current Liability | Short-term liabilities such as trade creditors and payroll liabilities. |
| Non Current Liability | Long-term liabilities such as loans. |
| Equity | Owner’s equity and retained earnings accounts. |
| Revenues | Income earned from legal fees and other revenue streams. |
| Income Fees | Professional fee income accounts. |
| Other Incomes | Income that does not fall under standard fee revenue. |
| Cost of Sales | Direct costs associated with delivering services. |
| Expenses | General operating expenses. |
| Other Expenses | Expenses that don’t fit standard operating expense categories. |
| Inventory | Stock or inventory accounts if relevant to the firm. |
Tips
- You can add multiple rows before clicking Save all — useful if you are setting up several accounts at once.
- Use Undo all to discard all unsaved changes in the current session if you make a mistake.
- The Locked column prevents edits to system-managed accounts. Do not tick this for accounts you may need to adjust later.
- The Excluded column removes an account from certain report totals — leave unticked unless you have a specific reason.
Need Help?
If you are unsure where a new account should sit in your chart, or which account type to choose, contact the support team before adding it — it is much easier to set up correctly the first time than to remap transactions later.
