What’s the difference between File Notes and Documents

Understanding the distinction helps streamline your workflow and keeps your files organised.

File Notes

Purpose: Internal notes and memos about the matter — quick, timestamped records of what happened and when.

Where to Find Them:

  • Bottom left menu: “Quick File Notes” (next to Quick Timesheets)
  • Inside each file: “File Notes” tab
  • Dashboard view: Top tab for “File Notes & Timesheets”

Key Features:

  • Timestamp auto-inserts
  • Author auto-filled
  • Voice-to-text compatible
  • AI polish/formatting add-ins available
  • Clean file note presentation
  • Fully searchable
  • Designed for speed and clarity, without breaking your workflow

Why Lawyers Use File Notes:
To protect their time, record key events, and reduce risk. File notes are a critical part of a defensible legal record and a lawyer’s best friend in hindsight.

Documents

Purpose: All the external, formal material related to a matter — what’s shared, filed, or sent.

What’s Included:

  • Letters
  • Court forms and submissions
  • Emails
  • Leases, wills, and other legal templates
  • PDFs, Word docs, Excel sheets, etc.

Where to Find Them:

  • Inside the file: “Documents” tab
  • Main menu (left side): “Documents”

Smart Tools Built In:
